How do I open my mailbox?
On our BLaST Webpage go to the email link on the right hand side
of the page or visit the Technology page and select Email from there.
You will be prompted for your user name and password.
Enter your user name and password.

Do I have other folders than my Inbox?
The Outlook Bar, located to the left of the main view, offers a number of shortcuts to your personal folders, as well as your private and public folders.
The two views available in the Outlook Bar are shortcuts and folders. You can switch between the two views by clicking at the top of the Outlook Bar.
The folders view offers a complete view of all folders to be associated with your mailbox. Including deleted items and drafts.
There are two ways to view your messages:
Double click the message to open it.
Or use the preview pane - This allows you to see and read the message without opening it.

How do I check for new messages?
When you open your mailbox it automatically checks for new messages.
Click on refresh or check for new mail button.
Go to the Options menu, set option to automatically check for messages.

How do I know if I have new messages?
Once you have logged into your mailbox, simply minimize the screen and when you receive a message a small box will appear at the bottom right-hand corner of your screen. Or, if you have the plus pack you can have a larger box appear on your desktop to notify you of new messages. Click on that box and your browser will open and you will see the message. Notifications can be turned on or off in the options section of your mailbox.

What is a public folder?
The Public folder is a place where notes can be posted for email users to view, or they can be customized so that only certain people have access to that particular folder. These public folders are very similiar to message boards because people can reply to any note posted in a public folder.

What is an attachment and how do I know which message has one?
An attachment is a document or spreadsheet that has been added to an email. You will know if an email has an attachment because the message will have a paperclip next to the message in the inbox view.

How do I open an attachment?
Open the message that has the attachment by double clicking on it. Anytime you open a message with an attachment you will receive a general warning about attachments. This does not mean that a message has a virus, it is just a warning.
To open the attachment - Single click on the text next to the white piece of paper.

What to do when I get a messge to save attachment to disk:
Click OK on the message bar.
Right click on the attachment .... you will see a list of choices.
Select Save Target As, then point to the "G" Drive. Click Save. Open G Drive and open the attachment that you just saved OR Right click on the attachment and click open.

How do I send a messge?

While in your inbox click "New" button on your tool bar.
Click the drip-down arrow next to the new button. Select nessages.
You can manually type in the desired email address in the white field directly behind the "To" button.

Click on the "To" buttons, which will bring up a search screen called Select Names.
Notice that this box looks very different from the other select names box. However, this box can be searched by clicking on the first initial of the persons first name of whom you are looking for. At the top of the select names box you can search your contacts. Locate the name of the person you wish to send an email to, single click then choose where to place the name by clicking on "To, CC, or Bcc".
The bottom of the select names box you will see a button labeled properties. If you single click on a name and click the properties box this screen will appear.
What if you don't know the persons first name? Not to worry because we still have the find names box, you can reach that box by clicking on the "Find Names ..." Button at the bottom of the Select Names box. Then this familiar screen will come up. TIP: Searching for people in the find names box the "display name" will always be the first initial, last name (up to 8 characters) You may find it easier to type in the first few letters of the name in the "last name" box. If you are looking for groups, use the display name box and type in "group". Another search tip - type in the persons initials (LC) in the alias box and click find.
Select the person by single clicking on the name. Then click on the appropriate button located at the bottom of the "Find Names" box. To, CC or BCC.
When finished click the close button.
Groups have been created so that you can create one message to send to multiple people. To find the group just click on G.

How do I remove someone from a message with multiple addresses?
Single click on the name you want to remove.
A screen will pop up to show you information on that person. Click on remove.
(This is a useful tool to double check email addresses.)
How do I attach a document to my messge? Prepare your email by following the above steps. Click on the paper clip located on the email toolbar or click the attachment button.
The following screen will appear. Click on the Brownse button to find your document.
Once you have located the document - click Open. Next you should see path to the document you are attaching. Click the attach button. You can also remove attached documents by clicking on the box next to the document then click the remove button. Click the close button. Press the send button to send the message with an attachment.

How do I reply to a message sent to me?
Open the message by double clicking on it. Click the reply cutton. The address is utomatically filled in when you are replying. Click above the original message and type your reply. Click the send button.

How do I forward a message?

Double click to open the message you want to forward. Click on the Forward Button.
Type in the name of the person you want to sent it to or use the Find Names. Click Send.
Can I tell when a message has been delivered?
Before sending a message, click on the options you want. Click on the close button to close the box.
Send the message as usual. Please note the last option "tell me when this message has been read". This is best used for emails sent within our IU. Although you can usually get a delivery receipt when you send a message out to the internet, you will rarely get a read receipt.
Tip: In the sensitivity option you can find a selection called private messages cannot be forwarded to other email users.

How do I save an email to a different folder?
In your inbox select the message (single click) you want to move. Click on the Move/Copy buttom on the toolbar of your inbox. This is the next menue you will see. The first time yu do this you should set a folder in your exchange mailbox named "Saved Emails". Click on your name - at the top of the list. Click the New .... Button. Type - Saved Email. Click OK. The folder has been created! Now you can move the message. Single click on the Save Email folder - Click OK.

What is the Calendar used for?
Use it to plan your week, schedule appointments or setup meetings.

Can I send my appointment to other people?
Click on the button labeled "invite attendees". The next box will allow you to choose who is required to attend, who is optional and you can list resources too. (See next two screen prints).
The Find names box will appear. Select the appropriate people and or groups. Close the find names box. Click send update. The recipient will receive an invitation and they can either accept or decline. The response will be sent back to you.

How do I create a personal address book?
Click on contacts folder. Click the drop down arrow next to the "new" button. Select Contact. Fill out necessary information (this is strictly user preference).
How do I send an email message to one of my contacts? Double Click the contact you want to send email to. Click the Send Email to Contact button. Open a new mail message. Type in contact display name.

Can I create my own group?

Open the contacts folder. Click on the drop down arrow next to the "New" button. You should see several options, select distribution list. Enter the name of the group you have chosen. Click on find names - You will see the Find Names box. Enter your search criteria and click "find names" button. Click once on the desired name, click at the bottom of the box. Then add to distribution list.
Clear the form and re-enter your search criteria until you have all members added. You may also type the persons full email address (or you can use your contact display name). Then click the add button.
Click save and close to complete.

How Do I Update My Computer?
Establish an Internet connection.
Click on your start button.
Go up to the Windows update link.
Click on the product update link.
Once Microsoft examines the software on your computer you may select the appropriate updates by placing a check mark in the box to the left of the update.
Click the download button.
Click start download.
Follow directions - most of the software is automatically installed once the dowload is completed. Some of the updates you will have to download one at a time and some can be downloaded together

How do I send an email attachment?
In your Inbox, click new message. Click To. This will bring up the list of email addressess. Choose the address you want to send to. Click on Attachment (this is located below the subject line). Click Browse. In the "Look In" subject line choose where your file is located. Find your file and double click to place it in the address line. Next click attach. How do I view conference room schedules?
Go to Webmail, New Email, Folders, Public Folders (click on + sign on left), Conference Room Schedules (click on + sign on left), Select your conference room. The Calendar is on the right - click on the date desired and use scroll bar to view. To view more information on the event or to print, double click on the event to bring up date and time. How do I change my email password?

Go into your email (webmail)
Click on shortcuts bar on the left side of your screen.
Click on options.
Click on change password.
Fill in the blanks as seen below, but change the account to your username.
